Plans change, and we try to be fair when they do. This policy sets out what happens when a booking with Pratap Travel is cancelled, by you or by us. It applies alongside our Terms & Conditions.
1. How to cancel
Cancellations must be sent to us in writing — by email to prataptravel8889@gmail.com or on WhatsApp — and are effective from the date and time we receive them, not the date you decided. Telling a driver or guide is not a cancellation. We will acknowledge every cancellation in writing; if you do not receive an acknowledgement within 24 hours, call us on +91 88088 00808.
2. Cancellation charges
Charges are calculated on the total tour cost and depend on how many days before departure we receive your cancellation:

Cab-only and day-trip bookings cancelled more than 24 hours before pickup are refunded in full; within 24 hours, 50% is charged; a no-show is charged in full.
3. What cannot be refunded
Some costs are paid out on your behalf and cannot be recovered once committed, regardless of notice given:
- Confirmed train, flight and bus tickets — these follow the carrier's own rules, and we refund whatever the carrier refunds us, less their charges.
- Hotel nights booked on non-refundable rates, and peak-season bookings during Deepotsav, Ram Navami, Holi, Kumbh and Char Dham opening weeks.
- Helicopter tickets, VIP darshan passes, special aarti bookings and government registration fees.
- Visa, permit and insurance charges.
Where we have paid a supplier in advance, we will show you the evidence of that cost on request.
4. Unused services
No refund is due for any part of a tour you choose not to use — a missed meal, an unused hotel night, a temple you decide not to visit, or leaving a tour early. If you shorten your journey after it has begun, the remaining days are treated as a cancellation within 72 hours.
5. Changing a booking
We will try to accommodate a change of date or a change in the number of travellers at no charge if you tell us more than 15 days before departure and the same rate is available. Inside 15 days, a change is treated as a cancellation and rebooking. Any difference in supplier cost is payable by you.
6. If we cancel
If we cancel a tour for any reason within our control, you may choose either a full refund of everything paid, with no deduction, or a transfer to another date or tour of equal value. We do not pay compensation beyond this, and we are not responsible for costs you have arranged separately, such as your own train or air tickets to the start point.
7. Force majeure
Some things are outside anyone's control — heavy rain and landslides, road or temple closures, weather-cancelled helicopter services, strikes, civil unrest, epidemics or government orders. Where a tour cannot run or must be cut short for these reasons, we will refund whatever we are able to recover from hotels, transporters and other suppliers, after deducting costs already spent on your behalf. We will always try to offer an alternative date instead.
This is why we recommend travel insurance for every yatra, particularly the Char Dham.
8. How refunds are paid
Approved refunds are sent back to the same bank account or UPI ID the payment came from. We process them within 7 working days of agreeing the amount; your bank may take a further 5 to 7 working days to credit it. Refunds are not paid in cash and cannot be sent to a third party's account.
